Microsoft Cuts 365 Family OneDrive Limits, Switching to Shared 2 TB Cloud Storage Pool

Microsoft announced structural updates to its Microsoft 365 Personal, Family, Premium, and Pro subscription plans. The changes alter how cloud storage and artificial intelligence features are distributed across accounts, replacing fixed per-user storage allowances with pooled capacity shared among all plan members.

From Individual Allocations to Shared Storage Pools

Under the prior system, Microsoft 365 Family, Premium, and Pro subscriptions provided each account member with an individual 1 TB OneDrive storage quota. Across a fully assigned six-person Family plan, subscribers had access to up to 6 TB of combined cloud storage. Under the new structure, Family and Premium tiers will offer a single shared pool of 2 TB for all users on the subscription. While individual accounts and stored files remain private, every member's usage will deduct capacity from the central pool.

Subscribers seeking larger storage allocations must opt for higher tiers or pay for add-on capacity. The Microsoft 365 Pro tier, introduced in September 2026 for $100 per month, includes 5 TB of shared cloud storage alongside higher AI usage limits.

Financial Impact and Add-On Capacity Costs

For family accounts that currently store more than 2 TB across all members, the policy change significantly increases operating costs. A standard Microsoft 365 Family plan costs $130 per year, or slightly over $10 per month. Adding supplemental OneDrive capacity costs $10 per month for each additional 1 TB, meaning users requiring their previous storage footprint could see monthly fees double or triple.

Shared AI Credits and Deployment Schedule

Alongside storage changes, Microsoft is adjusting how AI capabilities are distributed. Previously, Copilot usage credits were restricted exclusively to the primary account owner. The revised plans consolidate AI usage into a shared pool accessible to all family members, allowing subscription owners to grant or restrict access for younger users. Premium and Pro plan holders will also have the option to purchase extra AI usage credits as needed.

According to Microsoft, the shared storage structure applies to new and upgraded subscriptions starting October 8, 2026. Existing subscribers will transition to the shared pool during their first renewal on or after May 2, 2027, with advance notice provided prior to the billing date.
